Position Summary

The Accounts Payable (AP) Supervisor oversees and manages the day-to-day operations of the Accounts Payable function, ensuring accuracy, compliance, and efficiency in financial transaction processing. This role is responsible for maintaining effective policies and procedures, reconciling accounts, and ensuring the timely closing of month-end and year-end AP processes. The AP Supervisor works closely with vendors, the Purchasing department, and internal stakeholders to resolve payment issues and enhance business processes.

In addition to AP oversight, the Accounts Payable Supervisor manages the district’s travel program, ensuring compliance with Pierce College policies and state regulations. The position reports to the Procure to Pay Manager and requires regular, and consistent attendance.

Essential Functions

The Accounts Payable (AP) Supervisor will be responsible for the following, but not limited to:

Accounts Payable

Oversee the operations of Accounts Payable, ensuring accuracy and proper handling of financial transaction data.

Perform Accounts Payable reconciliation.

Assist in developing policies and procedures related to Accounts Payable business processes and functions.

Oversee month-end and year-end closing processes for Accounts Payable.

Review and approve all payments and reports produced in Accounts Payable.

Handle complaints from vendors regarding past-due payments and work closely with the Purchasing department to resolve issues.

Travel

Follow established Pierce College policies and procedures, as well as rules and regulations adopted by the Office of Financial Management and the Department of Enterprise Services, related to travel.

Review and process all travel-related documents for the district, including travel authorizations, travel advances, expense reimbursements, and Corporate Travel Card (Airfare), and other related documents.

Administer, review, and monitor Pierce College’s Corporate Charge Card System for appropriate use of state funds.

Reconcile the travel advance sub-ledger.

Submit and respond to travel-related technical support tickets.

Leadership & Supervision

Oversee three classified staff positions responsible for accounts payable tasks.

Interview prospective new hires when vacancies occur.

Train employees and assign/schedule work-related tasks.

Review and approve leave requests.

Conduct annual performance evaluations for assigned staff.

Recommend disciplinary actions when necessary.

Provide opportunities for skill development through training, coaching, and meaningful evaluation of work performance.

Teamwork

Complete special projects as assigned by the Procure to Pay Manager, Director of Fiscal Operations, or Associate Vice President of Fiscal Services.

Assist in preparing records for annual archival.

Qualifications

Education Required

Some college-level coursework in Finance, Accounting, Business, Statistics, or a related field from an accredited college or university, including 15 quarter hours or 10 semester hours in accounting.

OR

One year of relevant work experience may be substituted for the education requirement.

Experience Required

Minimum two (2) years of relevant professional experience in supervision, finance, budgeting, or accounting

A comprehensive understanding of generally accepted accounting principles (GAAP).

Special Requirements

Required Competencies

Understanding of Generally Accepted Accounting Principles (GAAP), Family Education Rights and Privacy Act (FERPA), and any applicable Office of Financial Management (OFM), State Board for Community and Technical College (SBCTC) or Washington State laws as outlined in the Revised Code of Washington (RCW). Utilization of the previously referenced items is outlined in the State Administrative & Accounting Manual (SAAM) or the SBCTC Fiscal Affairs Manual (FAM). Knowledge and understanding of Governmental Accounting Standards Board (GASB) fund accounting practices is preferred.

Ability to monitor and review input and output of financial data; develop fiscal queries and reports.

Ability to interpret and explain applicable state and federal regulations.

Lead, mentor, and support staff in achieving district goals and individual professional development; encourage collaboration, constructive feedback, and team recognition.

Terms of Employment

This is a full-time (40 hours per week) classified, over-time eligible position with Pierce College District. This position is permanent after serving a minimum six-month probationary period. The primary work location will be at Pierce College Fort Steilacoom campus. Occasional travel to Pierce College campuses and/or sites may occur. Work hours are typically between 8:00 a.m. and 5:00p.m. Monday through Friday with occasional evenings and weekend work, and occasional travel as required. This position may be subject to reassignment between campuses or sites. This position requires regular and consistent attendance and may be eligible for occasional telework once the incumbent is established in the position.

Salary & Benefits

The starting salary range of this position is $4,410.00 - $5,241.00 a month (dependent upon qualifications), with annual periodic increments up to $5,370.00 per month. However, your paycheck is just part of the total compensation package. There is an outstanding benefits package which is worth an additional value equivalent to about 30% of your salary. Physical Work Environment

This position is required to work indoors in an open office environment, which requires visual concentration on detail, dexterity, precision, and is subject to frequent noise and interruptions. This position operates in a dynamic and fast-paced environment.
