Description We are offering an opportunity to join our team in the casualty insurance industry in Seattle, Washington, as an Executive Assistant. The primary role of this position is to provide administrative support to executives, ensuring the smooth operation of our office. This includes managing schedules, coordinating travel arrangements, overseeing office budgets, and conducting research. Responsibilities: Manage executive calendars, including scheduling appointments and prioritizing sensitive matters Coordinate both domestic and international travel arrangements and create detailed itineraries Maintain an organized office filing system to ensure easy access and retrieval of documents Answer incoming phone calls in a polite and professional manner and accurately take and relay messages Handle confidential documents, ensuring they remain secure and are processed appropriately Prepare invoices and financial statements, providing assistance in bookkeeping as necessary Conduct research and prepare presentations or reports as required by executives Manage inventory of office supplies and place orders as necessary Use skills in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, Calendar Management, Correspondence, C-Suite, and Documentation to efficiently perform duties and tasks. Requirements Proficiency in using Concur for travel and expense management Experience with CRM systems to manage client interactions and data Advanced skills in Microsoft Excel for data analysis and reporting Familiarity with Microsoft Office Suites including Word, PowerPoint, and Access Proficiency in Microsoft Outlook for email and calendar management Ability to manage executive calendars, including scheduling and coordinating meetings Experience in handling correspondence, including drafting and responding to emails on behalf of executives Previous experience in supporting C-Suite executives Strong documentation skills for creating and maintaining internal processes and procedures.
