The STEM Academic Coordinator (SAC) will be tasked with curriculum management, time schedule management, room assignments, accreditation records management, school communications for all undergraduate programs in the School of STEM and other duties as assigned.The STEM Academic Coordinator is expected to engage in program operations at the Bothell campus. Close collaboration with Division Chairs, faculty who serve as Program Coordinators, Division Level administrative support, other STEM staff and faculty as well as service as the School of STEM’s liaison with a variety of offices at UW Bothell and UW Seattle in matters related to curriculum and time schedule management will be crucial. The SAC reports to the Associate Dean for Operations in the School of STEM.DUTIES AND RESPONSIBILITIES: Curriculum Management Administration:
Manage the process for Undergraduate and Graduate curriculum additions and changes (e.g., new course proposals) and programmatic proposals (e.g., new option, new minor).
Collect and distribute materials, document decisions, and maintain records for curriculum review.
Provide guidance and support to faculty in preparing and revising curriculum forms.
Provide assistance to the School of STEM Council on Curriculum & Learning.
Track curriculum proposals approved by the School of STEM through the University process, including liaising with CCASC, UW Curriculum Office, and other stakeholders to ensure process actions are addressed.
Enters course and program proposals into the UW Kuali Curriculum Management system.
Academic Time Schedule & Classroom Assignment Management:
Provide administrative support to the Program Coordinators, Division Chairs, and Associate Dean for Operations for developing, entering and maintaining the quarterly course Time Schedule for the School of STEM.
Enter Time Schedule information each quarter to have it published to the Academic Registrar’s Time Schedule. Ensure Time Schedule accurately reflects the School’s course plans and curriculum constraints.
Serve as School of STEM liaison with UW Bothell Registrar's Office for Time Schedule and room scheduling. Collaborate with the Registrar and other liaisons to ensure needed classrooms are scheduled.
Assess School room usage and make suggestions to optimize based on prior and expected enrollment, instructor and student needs, and other considerations.
Assist Program Coordinators and Division Chairs in resolving classroom issues brought forward by faculty, and ensuring future scheduling takes into consideration prior issues.
Accreditation and Program Review Records Management for ABET, NWCCU, and UW:
Accreditation and Program Review Records Management for ABET, NWCCU, and UW:
Assist in coordinating data collection and data preparation for accreditation and program review. Monitor ongoing faculty submissions of required materials and advise on completeness of records.
Create reports and summaries related to assessment of learning, research, course evaluations, retention, and program demographics.
During program review periods, coordinate and track compilation of self-study reports, ensuring consistency and accuracy across programs.
Ensure data and documentation required for accreditation are appropriately retained. Leadership Support:
Provide administrative and special projects support primarily to the Associate Dean for Operations, Program Coordinators, and Division Chairs.
May direct the work of student staff to provide assistance in special projects.
Other duties as assigned. MINIMUM REQUIREMENTS:
High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience. ADDITIONAL REQUIREMENTS:
Excellent organizational skills, ability to multi-task, and to independently prioritize workload.
Excellent verbal and written communication skills; ability to represent the School of STEM in a positive way to diverse audiences.
Must be comfortable with technology and have familiarity with word processing, spreadsheets, and database software tools.
Demonstrated ability to work independently and as part of a team. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS:
Knowledge in software programs and applications such as Kuali, BI Portal, EAB Navigate, EARS, SLATE, and KEYNES. Conditions of Employment:
This position will be located in an open-office environment, with frequent interruptions.
The person on this position will work during regular business hours, Monday through Friday or as agreed with the Supervisor.
