The Dental Hygiene Office Manager (Program Specialist 2) works to support the equity-centered mission of Pierce College by providing direct support to the director, students, staff, and faculty of the program. In addition, the Dental Hygiene Office Manager will cover the dental clinic reception area as needed. Reporting directly to and under the general supervision of the Dental Hygiene Director, this position is will work using sound independent judgement in order to proficiently execute the programmatic supports of the division. This position requires regular and consistent attendance.

Essential Functions

The Dental Hygiene Office Manager (Program Specialist 2) will perform their duties while actively supporting Pierce College's integrated institutional values and core themes in the advancement of the Dental Hygiene Program including, but not limited to:

Actively advance Pierce College's goals for equity and belonging in order to provide access and support for our diverse community of learners.

Participate in committees and task forces to ensure collaboration on reducing barriers and promoting retention of students, faculty, and staff.

Program Support:

Answer phone, mail, and in-person inquires and provide triage services for the director as appropriate.

Prepare written summaries of reports, technical publications, or other written materials for review as directed.

Support advising and admissions initiatives of the division/department.

Research, create, and provide resources/documents in support of the program as instructed by the Dental Hygiene Director.

Maintain departmental priorities and schedules.

Track departmental purchases.

Maintain departmental files in adherence with retention schedules; ensure confidentiality under Protected Health Information (PHI) and Family Educational Rights and Privacy Act (FERPA) regulations.

Track faculty absences and student course fees.

Assist Dental Hygiene Clinic Support Specialist to ensure smooth and transparent process for the two aspects of the department comprised of educational and clinic support.

Staff Dental Hygiene Clinic reception; provide daily management of clinic reception, patient intake/existing, referrals, and payments as needed.

Advisory Committee participation:

Assist Program Director with various marketing and promotional activities as delegated.

Schedule and attend all advisory board meetings; take and distribute meeting minutes including departmental meetings.

Other duties as assigned to support the mission, goals, and objectives of the district and program.

Budget Monitoring and Maintenance:

Maintain and monitor fiscal records on all departmental requests.

Maintain up-to-date accounting ledger and provide weekly updates to director.

Track, reconcile, and report departmental budgets.

Other duties as assigned.

Required Education:

Associate's Degree in Business, Business Information Technology, Healthcare, or related field.

Required Experience:

One (1) year of customer service experience.

One (1) year of administrative/secretarial experience.

Experience establishing and maintaining complex electronic and/or manual file systems or database files.

Experience using Microsoft Office software (Excel, Word, Outlook, Teams).

Special Requirements:

Must pass Health Insurance Portability and Accountability Act (HIPAA) and FERPA training and obtain HIV training certificate within two months of hire.

COVID-19, Hepatitis B, TB test, MMR, Varicella, Tdap, and Influenza vaccination history

Demonstrates appropriate depth of knowledge and skills in utilizing technology such as the following:

Word: Ability to create, format, edit, preview, print, and save documents; use standard functions to select, edit, copy, paste, format, and spell check.

Excel: Ability to create, modify, print, and format spreadsheets and work with basic formulas and functions.

Outlook: Ability to compose, send, and respond to electronic email and utilize functions such as calendars and meeting requests.

Internet: Ability to navigate the Internet to find and download information.

Database Software: Familiarity with database software including electronic health records systems, learning managements systems (e.g. Canvas, Starfish), and enterprise performance management systems (e.g. PeopleSoft/ctcLink).

Terms of Employment:

This is a full-time (40 hours per week) classified, over-time eligible position with the Pierce College District. The primary work location will be at Pierce College Fort Steilacoom campus. Occasional travel to Pierce College campuses or sites may occur. Work hours are typically between 8:00 a.m. and 5:00p.m. Monday through Friday with occasional evenings and weekend work, and occasional travel as required. This position may be subject to reassignment between campuses or sites. This position requires regular and consistent attendance.

Salary & Benefits:

The starting salary range of this position is $3,833.00$4,602.00 a month (dependent upon qualifications), with annual periodic increments up to $4,723.00 per month. However, your paycheck is just part of the total compensation package. There is an outstanding benefits package which is worth an additional value equivalent to about 30% of your salary. A comprehensive health care benefits package for you and your dependents includes medical, dental and vision insurance. Physical Work Environment:

This position is required to work indoors in an open office environment, which requires visual concentration on detail, dexterity, precision, and is subject to frequent noise and interruptions.
