Another Source’s client, Sabey Data Centers, is recruiting an Office Coordinator to join their team in Tukwila, WA.

Job Summary:

The Office Coordinator oversees of the daily operations of the corporate office, provides administration tasks for Sabey Corporation, Sabey Data Center Properties, and Sabey Construction, and provides support to the Sabey Information Governance Committee in maintaining the records retention program.

The anticipated annual base salary range for this position is $46,394-$67,271 DOE

Principal Accountabilities:

Oversee the daily operations of the office, including:

Provide timely coverage for the reception desk and answer the Sabey HQ phone, dispatch calls and take messages as needed.

Assist with office services and maintenance for office equipment. Work with vendors to assure good working condition of office machines and equipment.

Oversee and manage the operations of the Sabey kitchen areas and equipment on the 2nd & 4th floors to include inventory par levels, ensure cleanliness and optimal kitchen equipment operations.

Assisting with package delivery and sorting the daily mail. Assist with sending packages to departments as needed.

Order lunches for meetings or training courses as requested.

Work with departments to secure adequate and appropriate office supplies and equipment as needed. Monitors inventory usage and expenses and assists the Office Manager with controlling costs.

Approve invoices for ordered services, and issue PO’s as needed to order maintenance services for equipment.

Work cooperatively with IT to ensure that the front desk and conference room telephones, voicemail, internet service, other media services and connectivity are provided and maintained appropriately.

Provide administrative support to departments as requested, including:

Providing administrative services to Sabey Team Members upon request in coordination with the Office Manager.

Submit Landport Service requests as they are reported over the phone from tenants.

Provide support to Sabey marketing and communications, including assisting with special events, company meetings, and parties, etc.

Assist with new hire orientation – greet new employees, order name plates, order business cards.

Create new employee access cards as needed.

Assist with the coordination and setting up for new workstations or office signage as directed.

Provide support to Sabey Information Governance Committee (“IGC”) in implementing and maintaining the company records retention policy, including:

Reporting and bringing records retention issues of importance to the IGC as appropriate.

Providing day to day support of the records retention program, to include the review of historical records and assist with shredding as needed.

Follow training materials to assist Sabey in complying with known recordkeeping requirements.

Working with and supporting Information Governance Coordinators to assist departments and programs in meeting program responsibilities.

With the assistance of departmental IG Coordinators, monitoring and assessing records management practices among Sabey Personnel, as well as practices of third parties that hold, store or manage Sabey Business information; and

Support the strategic vision for the IG Program aligned with Sabey’s business strategy and needs.

Essential Functions:

Ability to communicate with all levels of Sabey employees, clients, and vendors

Ability to successfully manage multiple projects and tasks simultaneously

Ability to interface with technology, specifically Microsoft Office 365

Ability to think creatively and critically.

Ability to be prompt and have excellent time management skills.

Minimum Qualifications:

High School Diploma or GED

3+ years of experience in an administrative role

Minimum Competencies:

Knowledge of administrative and clerical procedures

Proficiency with Microsoft Suite –Excel and Outlook skills required

Time Management and Organization

Maintain confidentiality as appropriate

Ability to manage and prioritize client needs

Verbal and written communication skills

Excellent customer service and personal service skills – must be able to foster and maintain professional relationships with Sabey employees, external clients and vendors.

Pleasant demeanor with a welcoming and helpful approach

Washington state driver’s license.
