We are seeking an organized and energetic Administrative Assistant to join a fun local company. The Administrative Assistant as a key member of their admin team. The position has primary responsibility for working on a variety of document types including meeting minutes, reports, correspondence, specifications, and contracts. The position will provide backup front desk and phone coverage as required and assist the Office Manager with accounting and other tasks as needed.
Responsibilities
Create various reports, meeting minutes, correspondence
Edit and compile construction document specifications
Produce AIA Contracts for Owners and Consultants
Support Office Manager with accounting tasks
Use InDesign software for various documents and assist Marketing when necessary
Provide backup on multi-line phone system and front desk, greeting and directing guests
Assist in construction administration logging and processing
Other duties as assigned
Desired Qualifications
4+ years working in a professional office environment
Work well in a fast-paced, highly collaborative, team environment
Ability to prioritize, time manage, and multi-task under firm deadlines
Ability to maintain high degree of confidentiality
Strong attention to detail, great listening skills, reliable, and customer service oriented
Proficient with Microsoft Office suite and Adobe InDesign
Ability to effectively communicate via phone and email
