Our employees are not only part of history, they are making history.Northrop Grumman Space Systems is currently seeking an Administrative Assistant 3 to support the Senior Director of the Mission Critical Programs Operating Unit at our El Segundo, CA headquarters. This role requires on-site presence at the El Segundo campus.The ideal candidate will be proactive, self-motivated, well-organized, reliable and detail oriented. A day-in-the-life of the executive assistant typically includes, but is not limited to:

Coordinating a broad variety of operating unit events, meetings, and teleconferences.

Managing multiple priorities and actions simultaneously.

Arranging travel and processing expense reports in a timely manner.

Supporting the creation of presentations and operating unit communications.

Managing calendars for unclass and classified conference rooms, deconflict and move meetings to accommodate pop-up meetings.

Scheduling meetings, to include all support necessary to facilitate meetings, often in close coordination with executive assistants across the company.

Coordinating and leading office activities and events.

Assisting customers with inquiries and directing them to the appropriate resource.

Ordering and managing refreshments and luncheons for meetings held in in the office.

Collecting government Fair Share monies if applicable

Expense tracking and submitting expense report in Concur

Ordering office supplies and working with building management and NGC facility representatives to handle general office repairs, HVAC adjustments, and other incidents.

Coordinating with IT for basic support.

Implementing and maintaining procedures/office administrative systems. Organizing induction programs for new employees.

Ensuring the office complies with health and safety regulations.

Serving as a primary Point of Contact for incoming personnel as well as existing site personnel.

Assisting other staff members with their tasks as needed.

Ensuring office is clean, organized and functional.

Maintaining and update office records.

Working closely with the security team to ensure security protocol and processes are followed.

Supporting the Mission Integration Team by handling routine administrative duties, greeting and escorting guests, and creating a great atmosphere for all employees to work in.

Basic Qualifications for Administrative Assistant 3:

High school or equivalent and a minimum of 4 years additional education and/or experience supporting senior executives.

Must have the ability to work on-site fulltime.

Candidate must be a team player and possess good interpersonal skills.

Requires organizational skills, working independently with minimum supervision.

​Computer skills required include expertise in Microsoft Office 365 software: Word, PowerPoint, Outlook, and Excel.

Experience participating and hosting in-person and remote video teleconference meetings (such as Zoom, Skype, MS Teams).

Experience with Concur (or similar) travel and expense reporting system.

U.S. Citizenship with the ability and obtain a Top-Secret security clearance.

Preferred Qualifications for Administrative Assistant 3:

Knowledge of Northrop Grumman policies and procedures.

TS/SCI clearance is highly desirable but not required.

Proficiency with Microsoft SharePoint/Teams web page development and management.

Salary Range: $53,000 - $88,300The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
