Job Title: Med Spa Office Assistant

We are seeking a dependable, detail-oriented Office Assistant to support our Practice Coordinator, Estheticians, and RNs, ensuring smooth and efficient daily operations.
Position Overview:
The Office Assistant will provide direct support to our Practice Coordinator and serve as a backup receptionist when needed. This position is ideal for someone who is organized, personable, and thrives in a fast-paced, client-focused setting.
Key Responsibilities:
Support the Practice Coordinator with administrative and organizational tasks
Assist with scheduling, filing, data entry, and supply tracking
Serve as a backup receptionist: answer phones, greet clients, and manage check-in/check-out
Provide a warm, friendly, and professional first impression by greeting every client with a smile and positive attitude
Maintain a clean and professional front desk and lobby area
Prepare and reset treatment rooms between clients to support smooth service flow
Handle client inquiries with professionalism and discretion
Restock supplies and assist with inventory management
Learn about spa retail products and assist in promoting and selling them
Help ensure efficient daily operations and a positive client experience
Other duties as needed
Qualifications:
Prior experience in a medical spa, aesthetics office, or front desk role is a plus
Excellent communication and customer service skills
Strong multitasking and organizational abilities
Proficiency in Microsoft Office, EHR or med spa management software
Professional, polished, and friendly demeanor
Ability to maintain HIPPA/confidentiality with client information
Position starts part-time with the opportunity to grow into full-time hours
