Customer Service Representative

Description We are offering a contract to hire opportunity for a Customer Service Representative in Irvine, California. This role is integral to our team, focusing on the development of positive and professional rapport with account contacts and affiliate subcontractors, dispatching work orders, and managing our National Accounts Workflow Billing System. Responsibilities: Develop a positive and professional relationship with assigned account contacts and affiliate subcontractors. Communicate effectively with customers and affiliates via telephone and email. Receive and dispatch work orders according to customer expectations. Track open and closed work orders, updating status notes and providing reports with schedule dates, estimated completion dates, and close dates. Obtain inspection purchase orders from the customer and dispatch the inspection work orders to affiliates in a timely manner. Follow up on completed inspections with affiliates to ensure reports, paperwork, and invoices are sent in a timely manner. Review exception management queue and mark-up queue daily. Mark-up/price the service and inspection calls correctly before submitting to billing. Review all paperwork for completeness and accuracy before invoicing. Request missing paperwork from affiliates and dispute incorrect invoices from affiliates. Review Not to Exceed (NTE) amounts on customer Purchase Orders (POs) prior to mark-ups.Skills required include proficiency in MS Word, MS Excel, Microsoft Outlook, Call Center Customer Service, Data Entry, Customer Invoices, Dispatching, and Job Scheduling. Requirements Proficiency in MS Word, MS Excel, and Microsoft Outlook Experience in a call center customer service environment Ability to perform data entry tasks accurately and efficiently Experience with handling customer invoices Ability to perform dispatching duties as needed Experience with job scheduling Strong communication and interpersonal skills Ability to work independently and as part of a team Strong problem-solving skills and attention to detail Excellent time management skills and ability to prioritize tasks effectively High level of professionalism and ability to maintain confidentiality Ability to handle customer inquiries and complaints professionally and effectively Knowledge of customer service principles and best practices Ability to adapt to changing work environments and customer needs Previous experience in a similar role would be an advantage.
