Administrative Assistant

Description We are seeking a highly organized and proactive Administrative Assistant located in Downtown Los Angeles to manage a variety of administrative and office tasks. This role is essential for maintaining the smooth operation of our office and supporting our team with various administrative functions.Responsibilities:

Welcome visitors warmly, handle and direct phone calls efficiently, manage the reception area, and respond to general inquiries.

Supervise daily office operations, including the upkeep of office supplies and equipment, arrange for maintenance services, and ensure a tidy and well-organized workspace.

Oversee inventory and restock kitchen supplies, including paper goods and snacks, to ensure availability.

Offer comprehensive administrative assistance to executives and staff, such as scheduling meetings, managing calendars, and preparing necessary documents.

Handle the receipt and distribution of incoming and outgoing mail and deliveries, ensuring timely and accurate processing.

Support the planning and execution of company events, meetings, and celebrations, ensuring smooth operations.

Act as a liaison between HR and the executive team to address and resolve staff feedback regarding office space.

Coordinate with vendors and service providers, manage office-related contracts, and ensure services are delivered promptly.

Work with the IT department to ensure all office technology is functioning correctly and assist with troubleshooting basic technical issues.

Requirements

Demonstrated experience in office management or administrative roles.

Exceptional organizational and multitasking abilities.

Outstanding verbal and written communication skills.

Proficiency in Google Workspace.

Strong attention to detail and adept problem-solving skills.

Friendly and professional demeanor.

Ability to handle confidential information with discretion.

Familiarity with office equipment and technology.

High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

Passion for food and cooking—cooking skills or experience in the culinary industry is a plus.
