We are seeking an exceptional, fast-paced professional for a high-level Executive Assistant role supporting two principals in Santa Monica. This position blends traditional EA responsibilities with some personal support and offers strong long-term growth potential for the right, committed candidate.
You will help execute the principals’ vision, support day-to-day operational needs for both the principals and household, and manage a variety of projects with accuracy, ownership, and discretion.
The ideal candidate is a strategic thinker with 3+ years of high-level executive support experience. Strong communication skills, basic financial literacy (invoices, receipts, contracts), and the ability to stay calm under pressure are essential.
This is a dynamic, fast-paced role with significant responsibility. The candidate must be highly organized, proactive, able to manage multiple priorities with confidence, and comfortable pitching in with personal-assisting tasks when needed. A positive, no-drama, “get it done” attitude is a must.
Responsibilities include but are not limited to:
Manage current home and support move
Oversee and coordinate household staff (cleaners, nanny, dog walker, etc.)
Manage household vehicles
Coordinate contracts and partner with legal/admin teams as needed
Track budgets and assist accountant with receipts and invoicing
Manage contractors and small home repairs
Assist with travel booking, itinerary management, and home oversight during travel
Calendar management for principals
Prepare principals for meetings (notes, documents, research)
Respond to emails and document requests on behalf of principals
Support principals in day-to-day operations and project coordination
Translate the founder’s ideas and vision into actionable next steps
Qualifications:
Event coordination or event supervision experience is a plus; Must enjoy being around groups of people as events are hosted multiple times a month.
Comfortable addressing issues and solving problems in a healthy, practical way
Ability to cultivate and maintain strong relationships with strategic partners and event vendors
Demonstrates alignment with organizational values; prioritizes clarity and simplicity
Proven experience juggling multiple priorities, coordinating logistics, maintaining attention to detail and staying organized
Excellent verbal and written communication skills; able to communicate on behalf of principals
Comfortable working around newborns and small/medium dogs
Experience or deep interest in health and wellness is preferred
Requirements:
Must be able to work onsite in Santa Monica
Must be flexible to travel occasionally
Availability for occasional nights/weekends for events
