Job Description:

We are seeking an experienced and highly organized Office Manager to oversee all administrative and operational functions of our company. This role is crucial in ensuring the smooth and efficient running of our office and field operations. The ideal candidate will be a proactive problem solver, excellent communicator, and have a strong background in office management within the HVAC or construction industry.

Responsibilities:

-Oversee all office operations and procedures, ensuring organizational effectiveness and efficiency.

-Manage accounts payable and receivable, payroll, and financial reporting.

-Liaise with suppliers, contractors, and clients to ensure timely and accurate communication.

-Coordinate with the general contractor and manage project timelines and deliverables.

-Handle human resources functions, including recruitment, onboarding, and employee relations.

-Maintain and organize company records, including project files, contracts, and correspondence.

-Ensure compliance with industry regulations and company policies.

-Develop and implement office policies and procedures to improve operational efficiency.

-Manage inventory and order supplies as needed.

-Coordinate with the marketing team to support promotional activities and client communications.

-Assist with the preparation and submission of project proposals and bids.

-Maintain a clean and organized office environment.

Qualifications:

-Proven experience as an Office Manager or similar role in the HVAC or construction industry.

-Strong knowledge of office management responsibilities, systems, and procedures.

-Excellent time management skills and ability to multitask and prioritize work.

-Attention to detail and problem-solving skills.

-Strong organizational and planning skills.

-Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and familiarity with accounting software.

-Excellent written and verbal communication skills.

-Ability to work independently and as part of a team.

-Must be fluent in Spanish.
