Overview:

Stonepine Estate is seeking an experienced and detail-oriented Event Manager to oversee the successful execution of weddings and corporate events hosted at our private estate venue. The ideal candidate will possess excellent organizational and communication skills, with a keen eye for detail and a passion for delivering exceptional service. The Event Manager will serve as the primary point of contact for clients from the time of booking through the conclusion of their event, ensuring that their expectations are met and that every aspect of their experience exceeds their expectations.

Responsibilities:

Client Coordination:

Serve as the main point of contact for clients once they have been booked, guiding them through the planning process and addressing any questions or concerns they may have.

Work closely with external event planners, vendors, and caterers to coordinate all aspects of the event, including catering, décor, entertainment, and logistics.

Communicate regularly with clients to provide updates, gather necessary information, and ensure that their vision for the event is realized.

Manage client expectations and anticipate their needs, providing personalized attention and solutions to enhance their experience.

Event Management:

Oversee the setup, execution, and breakdown of events to ensure that they run smoothly and according to plan.

Preside over events on the day they take place, serving as the primary point of contact for clients, vendors, and staff.

Coordinate with the on-site team, including housekeeping staff, to ensure that all facilities are clean, well-maintained, and properly prepared for events.

Address any issues or concerns that arise during events, making quick decisions and taking proactive steps to resolve problems and ensure guest satisfaction.

Administrative Duties:

Maintain detailed records of client communications, event specifications, vendor contracts, and other relevant documentation.

Prepare event timelines, schedules, and checklists to ensure that all tasks are completed on time and according to plan.

Track event expenses, reconcile invoices, and assist with budget management as needed.

Collaborate with the sales team to transition clients seamlessly from the booking stage to event planning and execution.

Qualifications:

Bachelor's degree in related field preferred.

Proven experience (2+ years) in event coordination, venue management, or a similar role, preferably in the hospitality industry.

Strong organizational and time-management skills, with the ability to prioritize tasks, multitask effectively, and meet deadlines in a fast-paced environment.

Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors, and colleagues.

Detail-oriented approach with a focus on delivering high-quality service and exceeding client expectations.

Ability to remain calm under pressure and resolve conflicts or challenges with professionalism and diplomacy.

Proficiency in event planning software, Microsoft Office Suite, and other relevant tools.

Flexibility to work evenings, weekends, and holidays as required to oversee events.

Valid driver's license and reliable transportation.
