Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring efficient office management. You will work directly with leadership. This is a full-time position with opportunities for growth and advancement.

Duties

Answer phone calls and respond to emails from clients in a professional and timely manner.

Perform data entry tasks and maintain accurate financial records.

Learn new production software to facilitate effective project management.

Perform general office duties such as filing, scanning, and photocopying.

Provide administrative support to the team, including managing calendars, scheduling appointments, and coordinating meetings.

Draft standard operating procedures for all administrative functions.

Requirements

Required

1-3 years of experience as an Administrative Assistant or in a similar role.

Proficient in data entry and computer skills, including Microsoft Office 365 (Word, Excel, PowerPoint).

Experienced with construction software (ideally Service Titan).

Excellent organizational skills with the ability to prioritize tasks effectively.

Strong attention to detail and accuracy.

Comfort with basic bookkeeping, accounts payable, and invoice management.

Ability to maintain confidentiality of sensitive information.

Excellent communication skills, both written and verbal.

Ability to work independently as well as part of a team.

Strong customer service skills.

Preferred

3–5 years of experience in an administrative or office support role.

Associate’s or Bachelor’s degree in Business Administrationor a related field.

Experience in a start-up environment.

Experience in the construction industry is a plus.

Ability to assist with tracking project progress, scheduling job site visits, and maintaining project documentation.

Interest in helping document and improve operational procedures (especially for scaling as the business grows).

A self-starter who sees challenges as opportunities to create better systems and build company success.
