Description We are offering a long-term contract employment opportunity for an Administrative Assistant based in Toms River, New Jersey. This role focuses on providing business operations administrative support within the corporate real estate brokerage industry. The role requires a high level of organization and attention to detail, with duties encompassing customer service, administrative tasks, and database management.Responsibilities: Accurately process and maintain customer credit applications and records Manage and coordinate scheduling for appointments, meetings, and conferences Handle outbound mail services and prioritize incoming mail Answer phone calls and resolve customer inquiries in line with department policies and procedures Prepare collateral materials for mass mailings and coordinate distribution Conduct research and update databases as required Maintain a detailed calendar and contact database for the assigned work group Manage travel or conference arrangements for team members Complete expense reports and handle reconciliation of receipts Ensure accurate record keeping and filing systems are maintained. Requirements Demonstrated proficiency in Operations and Procedures Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook Ability to schedule appointments and meetings effectively Strong research and analysis skills Experience with managing and updating databases Ability to create and deliver presentations Experience with reconciliations and financial correspondence Ability to arrange travel and manage receipts Understanding of Conductivity in the context of business operations Experience in the Real Estate sector, preferably with Brokerage Familiarity with Customer Relationship Management (CRM) systems Ability to conduct and coordinate conference calls Proven ability in resolving issues and prioritizing tasks Experience with file system management Ability to maintain a calendar and schedule meetings Experience with record keeping and managing expense reports Strong marketing communication skills Ability to manage and maintain calendars effectively.
