Description We are offering a contract to hire employment opportunity for an Executive Assistant in Newport Beach, California. This role operates in a dynamic and fast-paced environment, providing administrative and secretarial support on a variety of tasks related to the executive's working life and communication.Responsibilities: Act as a liaison among executives, employees, clients, and other external partners, managing information flow in a timely and accurate manner. Oversee the performance of other clerical and administrative staff, ensuring efficiency and cohesion in the workplace. Handle and manage executives’ calendars, setting up meetings as necessary. Coordinate travel and accommodation arrangements for executives, ensuring smooth and hassle-free trips. Draft, edit, and manage contracts, briefs, reports, and other administrative tasks. Maintain confidentiality and discretion when handling sensitive information. Assist in preparing financial statements, reports, memos, invoices letters, and other documents. Conduct research and provide analytical support as required. Process and respond to routine inquiries and correspondence promptly, efficiently, and professionally. Manage and maintain accurate customer credit records and process customer credit applications accurately and efficiently. Requirements Minimum of 3 years of experience in an Executive Assistant role or similar position Proficient in handling ADP - Financial Services Familiarity with Cisco Webex Meetings for managing virtual meetings and conferences Experience with Concur for travel and expense management Proficient in using CRM for customer relationship management Experience with Kronos Timekeeping System for tracking employee hours Familiarity with About Time for project management Proficient in Calendar Management for scheduling meetings and appointments Excellent communication skills for effective correspondence Experience in managing Conference Calls Ability to handle Correspondence professionally and efficiently Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
