Description We are offering an opportunity for an Office Assistant in the tech industry, based in Oakland, California. This role involves managing records and documents, with an emphasis on accuracy and organization. The work will be primarily at our storage unit and offers a short-term contract employment opportunity.Responsibilities: Develop and implement a systematic approach for preserving and archiving various documents. Handle and organize boxes of documents with precision, including those with partial descriptions. Ensure the secure and confidential destruction of irrelevant or excess documents as needed. Explore and implement potential solutions for document scanning to streamline information storage and retrieval. Manage the sorting and retrieval of all boxes, performing thorough checks of the files stored within each. Maintain accurate records of documents in our core data warehouse. Provide support in processing customer applications and maintaining customer records. Resolve customer inquiries in a timely and efficient manner. Monitor customer accounts and take appropriate action as necessary. Perform clerical duties, filing, and communication tasks as part of daily responsibilities.Requirements Demonstrable experience in clerical duties, including but not limited to organizing files, managing correspondence, and scheduling appointments. Strong communication skills, both written and verbal, to effectively liaise with team members and handle customer inquiries. Proficiency in filing systems, with the ability to maintain and update complex databases, ensuring data accuracy and confidentiality. Ability to use standard office equipment such as printers, photocopiers, and scanners. Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Excellent organizational and multitasking skills, with the ability to manage multiple tasks simultaneously while maintaining attention to detail. Strong problem-solving skills and the ability to work independently. Ability to maintain a high level of professionalism and confidentiality at all times. High school diploma or equivalent qualification required. Further education or certification in office administration would be considered a plus. Prior experience in an office assistant role or similar administrative position would be advantageous.
