Job Summary:

The Administrative Assistant will be responsible for a variety of clerical and administrative tasks to support the smooth operation of our tax office. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The ideal candidate will be a proactive team player with a professional demeanor and strong communication skills.

Key Responsibilities:

- Greet clients and visitors with a professional and friendly attitude.

- Answer and direct phone calls, emails, and other correspondence.

- Schedule and manage appointments, meetings, and deadlines.

- Prepare and process client documentation, including tax forms and financial records.

- Maintain and organize physical and electronic files, ensuring accuracy and confidentiality.

- Assist with data entry and preparation of reports.

- Handle office supplies and equipment inventory, placing orders as needed.

- Coordinate and support office events and activities.

- Perform general office duties such as photocopying, scanning, and faxing.

- Collaborate with tax preparers and other team members to ensure efficient workflow.

Qualifications:

- High school diploma or equivalent; additional education or certification in office administration is a plus.

- Proven experience as an administrative assistant or in a similar role, preferably in a tax or financial office environment.

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.

- Strong organizational skills with the ability to manage multiple priorities and tasks.

- Excellent written and verbal communication skills.

- High level of accuracy and attention to detail.

- Ability to maintain confidentiality and handle sensitive information.

- Positive attitude, professionalism, and strong interpersonal skills.
