The Construction Office Administrator plays a pivotal role in ensuring the smooth and efficient operation of our office and construction projects. You will provide comprehensive administrative and clerical support to project managers and the broader construction team, acting as a crucial communication link between internal staff, clients, and vendors. This is an opportunity for a detail-oriented, self-motivated, and organized professional to become an integral part of our team.

Key responsibilities

-Documentation and record-keeping: Manage, organize, and maintain all project-related documents, including contracts, permits, change orders, and submittals, both in physical and electronic filing systems.

-Administrative support: Provide general clerical and administrative support, such as handling correspondence (emails and letters), answering phone calls, scheduling meetings, and managing office supplies.

-Financial support: Assist with invoicing, tracking payments, and performing essential bookkeeping tasks.

Communication and coordination: Serve as a point of contact for clients, subcontractors, and vendors, facilitating effective communication and coordination among all project stakeholders.

-Subcontractor and vendor management: Track and manage subcontractor requirements, including ensuring insurance certificates and W-9s are up to date.

-Project assistance: Support the project team with various tasks, such as creating vendor packets, preparing proposals, and generating reports.

-Process improvement: Collaborate with the team to enhance office processes and improve overall efficiency.
