Description We are offering a contract for a permanent position as an Administrative Assistant in San Diego, California. As an Administrative Assistant, you will be responsible for a multitude of tasks, including managing facilities vendors, providing executive support, and maintaining office organization. This role is crucial in providing a wide array of administrative services within our team.Responsibilities: Manage and maintain facilities vendors, ensuring smooth operations. Oversee the organization of the office and light kitchen cleaning duties. Handle the scheduling and management of calendars for key executives. Support customer meetings and lunches, providing logistical assistance. Coordinate travel arrangements and schedule appointments as needed. Oversee the ordering and management of office supplies. Handle the management of coffee supplies and equipment maintenance. Assist with the planning and execution of company events and employee communications. Perform clerical duties such as typing, filing, scanning, and faxing. Distribute incoming mail and packages and assist with shipping and receiving tasks. Answer phone calls and take messages, providing excellent customer service. Accurately track and submit expense reports. Use Microsoft Office Suite for various tasks including data entry and email correspondence. Requirements Minimum of 2 years of experience as an Administrative Assistant or in a similar role Proven ability to answer inbound calls promptly and professionally Excellent customer service skills with a customer-first mindset Proficiency in data entry, ensuring accuracy and attention to detail Ability to manage email correspondence effectively and maintain organized digital records Experience with both inbound and outbound calls, demonstrating strong communication skills Advanced knowledge of Microsoft Excel, capable of creating and managing complex spreadsheets Proficiency in Microsoft Outlook for managing emails, appointments and tasks Skilled in using Microsoft PowerPoint to create engaging presentations Expertise in Microsoft Word for document creation and formatting Demonstrated ability to schedule appointments, manage calendars and coordinate meetings.
