Description We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our executive team in the dynamic field of biotechnology. The successful candidate will play a critical role in ensuring the efficiency of executive operations and contributing to the overall success of our company. Coordinate and manage complex executive calendars, including scheduling meetings, appointments, and travel arrangements.

Prioritize and organize daily activities to optimize the executives' time.

Communication and Correspondence:

Serve as the primary point of contact between executives and internal/external stakeholders.

Draft and proo emails, reports, and other correspondence on behalf of the executives.

Manage incoming calls and messages with professionalism and discretion.

Meeting Coordination:

Arrange and coordinate executive meetings, ensuring all necessary materials are prepared.

Assist in the preparation of agendas, presentations, and meeting notes.

Coordinate logistics for internal and external events attended by the executives.

Travel Arrangements:

Plan and organize travel itineraries, including flights, accommodations, and ground transportation.

Manage travel-related expenses and reimbursements.

Document Management:

Organize and maintain confidential and sensitive executive documents and files.

Assist in the preparation and editing of reports, presentations, and proposals.

Project Support:

Provide administrative support for special projects and initiatives led by the executive team.

Collaborate with other departments to facilitate cross-functional projects.

Requirements

Qualifications:

Bachelor's degree or equivalent experience.

Proven experience as an executive assistant or in a similar role.

Knowledge of the biotech industry is a plus.

Strong organizational and multitasking skills.

Exceptional written and verbal communication skills.

Proficient in Microsoft Office suite and calendar management tools.
