Our client is looking for a Program Assistant for a 3-month contract in San Diego, CA.
Responsibilities:
THIS CONTRACT IS ONLY FOR 3 MONTHS AFTER START DATE

Hybrid work (Office and Home) and intermittent travel to other regional office when directed by Pathways leadership
Overall Responsibilities:
Program Assistants are the first point of contact for the Pathways Wrap Around Program; this specific PA position will be primarily focused on our program transfer process. Duties include communicating regularly with the supervisor and other relevant leadership staff to flag cases that would benefit from escalated attention / corrections / consultation before those cases are smoothly transferred in or out; meticulous tracking of those incoming and outgoing cases; documented outreach to other departments to request needed documents; and timely follow up in a structured, standardized manner. The incoming PA will also support other PA staff as needed by tracking, monitoring, contacting, and scheduling intake assessment appointments.

Meet contract performance expectations and adhere to County and internal policies and procedures
Ensure customers/participants receive quality and timely services by contacting them within the timeframe assigned
Update multiple databases timely and accurately
Complete necessary County paper documents and forms with required data or information
Seek feedback and direction from direct supervisor and project leadership team members
Maintain strong working relationships with other departments and outside community partners
Track, monitor, and update outreach attempts in all aspects of the transfer process
Must be able to compile data in Excel and create reports for metric-based purposes
Complete other duties as assigned

Ability to learn specialized databases and software systems
Ability to respect and maintain the confidentiality of all materials in the work setting
Required Experience:
Spanish language proficiency is highly preferred.
An Associate degree with 2 years of administrative, clerical, and customer service experience. Significant related experience may substitute for the educational requirements.
Proficient with MS Office: Word, Excel, Outlook, PowerPoint.
Previous experience with data entry, and multicultural staff and customers is a plus.
Previous knowledge in TANF/CalWORKs and/or Social Services is not necessary, but desired.
Previous experience working with individuals in high-stress circumstances is a plus.
