About the role:

Join our vibrant Early Childhood team at San Diego Jewish Academy (SDJA) and make a difference in the lives of our youngest learners! You will be kept busy with:

Administratively, you’ll serve as the main point of contact for all who enter or call the ECC office - listening, problem solving, empathizing, and triaging as appropriate. You’ll assist with onboarding new employees - ensuring paperwork compliance, providing training, and maintaining personnel records as per SDJA and licensing requirements. You’ll submit monthly check requests and receipts, track the budget, and prepare reports for the Director (you love MS Excel!). You’ll also assist with managing finances by anticipating requirements, submitting budget information, scheduling expenditures, monitoring costs, processing petty cash reimbursements, and submitting payroll approvals. You’ll be the go-to expert for all things FMX (SDJA’s scheduling and reservation software, including IT/maintenance tickets) on behalf of the ECC. Supporting our amazing teachers as needed will be an added bonus in this role.

In health and safety, you’ll maintain student records in compliance with licensing mandates, stay proficient with California licensing laws, and assist the Director in ensuring full compliance. You’ll coordinate CPR/First-aid training (and other key training) for staff and ensure all classrooms are fully stocked with first aid supplies. You’ll report accidents (student or staff), maintenance issues, and broken/unsafe equipment and materials.

You’ll work closely with the ECC Director to manage the online presence of the ECC and ensure a professional and synchronized marketing plan for all ECC programs. You will serve as the collector and curator of digital ECC content - photos, videos, and more.

You will collaborate with the ECC Director, program coordinators, the Lion Parents’ Association and additional stakeholders (internal and external), to manage events - planning, calendaring, scheduling space, negotiating with and securing vendors, and more. You’ll ensure events are photographed, documented and archived - capturing and sharing the spirit of our community.

And, of course, all other duties as assigned.

Schedule & Working Conditions:

As the ECC Office Manager, you will work a full-time schedule year-round during business hours Monday through Friday, 7:30am - 5:30pm as determined by the ECC Director. There may be times when you will be required to work outside of these hours - mandatory staff meetings, parent night.

You’re adaptable to various physical tasks: standing; sitting; walking; using your hands to finger, handle, or feel; reaching with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk or hear; taste or smell. Your mobility and strength enable you to lift and carry up to 50 lbs. Effortlessly, ensuring you can handle tasks like moving supplies with ease. You will be working in a busy and occasionally noisy environment that is typical in a school setting.

Qualifications:

Education & Experience

Bachelor’s or Associate’s Degree program with coursework in business administration, communication or related field (or equivalent combination of education and experience)

Administrative experience in a school or similar fast-paced environment

6-12 units in Early Childhood Education coursework, or completed within the first 18 months of employment

Licensing/Certification

A valid First Aid and CPR Certification issued by an authorized agency within six months of employment

Compensation:

The anticipated range for this position is $24 to $29 per hour. The offer to a successful candidate will be dependent on several factors that may include but are not limited to: the type and years of experience; training; practical knowledge; and education.
