Operations & Events Specialist II/Coordinator

Outstanding Biotech company seeks high-energy, multi-talented, self-motivated individual to work with collaborative Human Resources team in the role of Campus Operations & Events Specialist II/Coordinator. This talented professional will possess the ability to multi-task while being flexible, adaptable, and willing to work in a fast-paced environment. This individual will be responsible for planning, coordinating, and implementing activities in support of campus operations and report to the HR & Campus Operations Manager.

RESPONSIBILITIES:

1)-Campus Operations (65%)

-Builds relationships with authorized vendors and oversees contracts that support campus services, such as coffee, copy machines, janitorial, lab coats (and other garments), event setup, building maintenance, etc.

-Point of contact for service tickets related to campus operations and campus services

-Oversees day-to-day operations performed by our janitorial vendor to ensure successful execution of all office operations (i.e., stand-up desk installations, office moves, furniture moves, monitor arm installs and take-downs, meeting setups, and other duties as assigned)

-Train and work closely with our Campus Operations Assistant (COA) to complete campus services tickets and other duties as assigned

-Help upkeep and update HR/Campus Operations internal page

-Manage and effectively maintain corporate office supplies across all buildings based on usage

2)-Employee Events and Programs (35%)

-Coordinate and set up all employee soirees, appreciation events, breakfasts, lunches, happy hours, etc.

-Manage and process all invoices associated with employee events in a timely and accurate manner through our COUPA purchasing system; create POs as needed

3)-Recommend new approaches, and create procedures as needed, to continually improve the efficiency of the department and campus operations

4)-Provide backup support in relieving reception for breaks and lunches when needed

5)-Other duties as assigned

QUALIFICATIONS:

-At least 2-3 years of related experience

-Bachelor’s Degree a plus

-Ability to build trust broadly and maintain strict confidentiality

-Reliable with strong organizational skills and attention to detail

-Excellent oral and written communication skills

-Ability to multi-task and reprioritize work when urgent requests arise

-Ability to be productive and successful in an intense work environment

-Maintains a high level of customer service and a can-do attitude

-Proficient in Microsoft Office (Word, Excel, PPT, Outlook)

-Ability to effectively interact with individuals at all levels of the organization

-Ability to work independently, with minimal supervision

-Work 100% onsite in Carlsbad, CA
