Job Overview
The maintenance coordinator will:
- Schedule unit turnovers of apartments: 40-50 a month. Schedule maintenance, painting, cleaning, carpet cleaning and have the units ready in five working days.
- Communicate with vendors and schedule (painters, flooring installers, plumbers, etc).
- Dispatch technicians for daily service orders. 20 technicians need a full day of work each day.
- Assist technicians with troubleshooting issues while they’re out in the field.
- Assist maintenance director with managing technician issues.
- Coordinate between maintenance technicians and the property managers.
- Coordinate between maintenance department and accounting.
- Relay information for management (from time sheets and information from maintenance director and technicians)
- Read and approve time sheets.
- Determine when a service order is complete.
- Review timesheets and make sure all techs turn in time sheets and reciepts each day.
- Create maintenance forms and notifications using standard company formatting
- Assist with processing payroll and onboarding technicians
- Audit open service orders to check for completion and send to billing.
- Meet with technicians to discuss pending service orders.
- Work 7 am to 4 pm. Monday through Friday.
Job Qualifications
- High school diploma required; Associates degree preferred.
- 2-3 years administrative/scheduling experience.
- An approachable but authoritative personality.
- Creative thinker and self-starter.
- Ability to work with frequent interruptions in a fast-paced environment .
