Argo Performance a professional services firm that specializes in Smart Building Technology is seeking a detail-oriented, well organized, Part-Time Administrative Assistant to support our operations team with a variety of administrative and business support tasks. This is a remote, work-from-home position with the option to use touchdown desk space at our Bay Ho (San Diego) office. Hours are flexible, but some duties—such as phone calls or time-sensitive deliverables—must be completed during regular business hours (Monday–Friday).

Argo will provide comprehensive training on all company procedures and specialized software systems.

Responsibilities:

Invoicing & Collections

Prepare payment applications and lien releases

Manage online invoicing software (Toltek) and schedules of values

Conduct follow-up and collections on outstanding invoices

Customer Relationship Management (CRM)

Maintain CRM system (Insightly)

Track opportunities and bid schedules

Follow up on proposals and maintain contact records

Monitor bid boards

Proposal Support

Format proposals in Microsoft Word

Assist with estimating and takeoffs in Excel

Organize project files (Dropbox for Business)

Support analysis of RFPs for project scope

Subcontract & Vendor Management

Process and track subcontractor invoices

Maintain schedule of values and purchase orders

Insurance & Bonding

Order and track Certificates of Insurance (COIs)

Manage bonding and bid/performance bond requests

Licenses & Certifications

Maintain company registrations: SAM, DUNS, CSLB, DIR, SB/MBE/SLBE certifications

Track and renew all certifications and licenses

Office & Operations

Coordinate with landlord and vendors

Manage supplies, subscriptions, and office logistics

Scheduling

Support project managers in updating project timelines (Monday.com)

Qualifications:

Must reside in San Diego County and be available for occasional in-person meetings at our office in the Bay Ho Area of the City of San Diego, (1–2 times/month, more during training).

Must be able to obtain clearances for handling Controlled Unclassified Information (CUI) and qualify for U.S. Military DBIDS access.

Proficient in Microsoft Office 365 (Word, Excel, Outlook, Teams, OneDrive, PowerPoint, CoPilot).

Understand the use of VOIP communication apps, such as Ring Central

Excellent written and clear verbal communication skills in English.

Reliable internet and phone access required.

Strong attention to detail, organization, time management, and ability to meet deadlines.
