Travel Agency Administration Assistant (Part-Time)

Job Summary:

We are seeking a detail-oriented and organized individual to join our team as a part-time Travel Agency Administration Assistant. This role will primarily support the Executive Assistant in various administrative tasks related to travel arrangements and client services. The ideal candidate should be proactive, resourceful, and capable of handling multiple responsibilities efficiently.

Responsibilities:

-Assist the Executive Assistant with booking transfers, accommodations, and other travel-related services for clients.

-Build and maintain spreadsheets to track travel itineraries, expenses, and client preferences.

-Coordinate and order specialty gifts or amenities for clients' travel arrangements.

-Audit flight bookings to ensure accuracy and compliance with client preferences.

-Create and update travel documents, including itineraries, visas, and other necessary paperwork.

-Occasionally prepare and mail documents to clients or partners.

-Collaborate closely with Executive Assistant to ensure seamless communication and coordination of travel arrangements.

Requirements:

-Proven experience in administrative roles, preferably within the travel industry.

-Strong organizational skills with the ability to prioritize tasks and manage time effectively.

-Excellent attention to detail and accuracy in data entry and document preparation.

-Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and familiarity with travel booking systems.

-Ability to work independently with minimal supervision and as part of a team.

-Excellent communication skills, both verbal and written.

-High school diploma or equivalent; additional qualifications in travel and tourism or related fields are a plus.

Working Conditions:

-Part-time position, approximately 15-20 hours per week.

-Flexible schedule/fully remote. 1 weekly meeting with E.A. to cover assignments, tasks and deadlines.
