Description We are seeking an Administrative Assistant to join our team based in San Jose, California. In this role, you will be managing a new property, cooperating with the previous company to update financial records. You will be required to handle a significant volume of data, including downloading and saving invoices onto our server. This role offers a short term contract employment opportunity.Responsibilities: Handle the transition process of the new property, coordinating with the previous management company Download and save a substantial number of invoices onto the server, ensuring all data is up-to-date Utilize YARDI software to manage and update financial records Provide excellent customer service, resolving inquiries efficiently Process inbound and outbound calls, maintaining a detail-oriented demeanor at all times Perform data entry tasks, ensuring accuracy and attention to detail Schedule appointments, managing calendars efficiently Maintain regular email correspondence, providing prompt responses Utilize Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) to perform administrative tasks. Requirements Minimum of a year's experience in an administrative role Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook Experience in handling inbound and outbound calls efficiently Proven ability to manage email correspondence professionally and promptly Strong customer service skills, with a focus on delivering high-quality support Demonstrated expertise in data entry tasks, ensuring accuracy and attention to detail Proficiency in scheduling appointments, coordinating calendars, and managing timelines Familiarity with Yardi property management software is preferred Excellent communication skills, both written and verbal Ability to multitask and prioritize tasks in a fast-paced environment Demonstrated problem-solving skills and ability to work as part of a team.
