Join Our Established Construction Firm

We’re seeking a Full-Time Financial and Office Administrator to manage essential financial, human resources, and administrative functions. If you’re punctual, reliable, and possess excellent communication skills via phone and email, we’d love to hear from you.

Salary: Starting at $70k+ (commensurate with experience)

Schedule: Monday – Friday, 8:00 AM to 4:30 PM (flexible)

Your Responsibilities:

Financial Administration:

Maintain and analyze financial records in QuickBooks

Prepare invoices, estimates, and contracts using Microsoft Word/Excel

Create job cost analysis spreadsheets

Manage payroll data entry

Process payments to vendors and clients

Handle change orders, RFIs, and submittals

Facilitate communication between supervisors and project managers

Human Resources Management:

Maintain staff records

Coordinate staff onboarding processes

Office Administration:

Ensure corporate compliance and manage standard operating procedures

Oversee rental properties and facility maintenance

Track and order construction materials, managing associated costs

Implement new technologies and manage social media updates

Conduct workers’ compensation and operational audits

What We’re Looking For:

Required Skills & Experience:

Advanced knowledge of finance/accounting or equivalent experience in AP, AR, job costing, and reconciliations

Expertise in web-based QuickBooks

Strong proficiency in Google Docs, Dropbox, MS Office, Excel, and Mac systems

Proven ability to process invoices, reconcile accounts, and manage payroll

Exceptional organizational skills with keen attention to detail

Positive, can-do attitude with a strong customer service focus

Self-starter who can independently manage tasks with minimal supervision

Adaptability to new technologies

High-level professionalism with excellent written and verbal communication skills

Minimum Qualifications:

High school diploma (or equivalent)

Previous experience in similar roles
