Job Description
We are looking for an experienced executive assistant professional that will directly report to our CEO, as well as wear other hats as necessary in order to support the business operations and the CEO. The position is will start as part-time, 10-15 hours per week, and increase to full-time you are able to take on more tasks and responsibilities. You will be asked to assist with multiple tasks simultaneously to ensure quality control, profitability, and maintain the white glove treatment we give our clients. The CEO needs a right-hand to assist in all facets of their professional life. Some personal assistant tasks will also be required.
You should be extremely detail-oriented, self-motivated and able to take the initiative. You must be driven to ensure the success of the company, while always looking for creative ways to offload tasks from the CEO's plate. You will organize, implement, schedule tasks, and manage team collaboration, as well as being responsible for some travel booking.
Detailed planning and forecasting in order to prevent possible issues before they arise is a must. Excellent professional written and verbal communication is required. You will need to problem-solve and exercise strong interpersonal skills with your other team members.

Responsibilities for this role include, but are not limited to:
Client support and communication
Coordinate staff and service fulfillment: setting the expectations and providing guidance to team members
Managing subcontractors and consultants to ensure they meet timely commitments
Help facilitate all social media accounts (LinkedIn, Instagram – weekly posting), website updates
Send reports
General office administrative duties
Account management
Data entry
Package, schedule, ship, and organize equipment
Travel arrangements
Manage the CEO calendar
Support CEO as needed
Errands to the post office, bank, etc.
Position Requirements
High school graduate, college education preferred
4+ years’ experience in administrative assisting, operations or personal assisting: Paralegals encouraged to apply.
Highly organized
Able to communicate effectively and meet strict deadlines
Self-directed, able to determine what needs to be done and with a high level of initiative and a “can do” attitude, while also being able to take direction
Reliable and takes pride in meeting deadlines
Live locally (although some of the role may be done remotely)
Proficient with Microsoft Office and Google Workspace
Experience with time tracking systems
