Work Schedule: Monday to Friday, 9:00 AM - 5:00 PM

Location: Fremont, CA

Xxentria International, located in Fremont, CA, is seeking a highly organized and driven

Administrative Assistant to join their operations team. Xxentria produces metal composite

panels for the transportation industry and has been in business for over two decades,

supplying major trailer manufacturers.

This role includes administrative support, communication with logistics companies, data

management, and handling key operational tasks. The ideal candidate is a self-motivated,

detail-oriented individual who thrives in a small team setting, is dependable, proactive, and

capable of managing multiple tasks with minimal oversight.

Responsibilities include but are not limited to:

Provide essential administrative support to the team, ensuring smooth operations.

Review and verify trucker invoices ensuring accuracy and compliance and

communicate effectively with logistics companies in case of any errors.

Maintain accurate records and databases, ensuring reliable information for day-to

day operations.

Prepare and send import documentation, reports, and other necessary documents.

Perform data entry tasks with precision and attention to detail.

Monitor shipments to ensure customer requirements are met

Ensure customer files are maintained, organized, and updated regularly.

Manage import and export processes, including bookings, customs filings, and

other shipping and supporting documentation.

Handle a small volume of phone calls and interact professionally with management,

team members, and external partners.

Review and process customer orders and pricing.

Complete filing electronically and physical documentation as needed.

Other administrative duties include

o Maintain and enhance office environment and policies to support a positive

workplace culture

o Organize weekly lunch pick up

o Maintain a clean and organized place of work

o Managing and restocking office supplies

o Assist with mailings and deliveries

o Provide support to staff in order to maintain office IT systems

o Maintain the general appearance of all common areas of the office, including

the reception area, conference rooms, open work areas, and

kitchen/breakroom (including loading and unloading the dishwasher).

Requirements:

Bachelor’s degree is required

Proficiency in Microsoft Excel

Excellent organizational and multitasking abilities.

Attention to detail and accuracy in data entry and document management

Strong written and verbal communication skills
