The Construction company in Daly City is looking for a full-time Office Administrator to run/manage the operations of our front office.
This position plays an important role in keeping the day-to-day operations of our fast-paced office flowing smoothly & maintaining clear communication with all field staff and company clients.
Job duties of this position include but are not limited to:
Office-
Perform general clerical duties
Answer incoming calls
Greet visitors
Keep front office/lobby area clean
Conduct new hire orientations
Receive/Code/Distribute incoming & outgoing mail
Maintain office equipment
Keep stock of supplies for office, kitchen, uniforms
Assist President, Project Managers and other company staff with various tasks as needed
Projects-
Assist with New Project set up
Coordinate project specific insurance certificates
Process Preliminary Notices
Create Project Safety Binders
Assist with Sub-tier Contractor setup
Skills:
- Strong organizational skills with the ability to manage multiple tasks simultaneously
- Excellent communication skills, both written and verbal. Fluent English, also preferred if speaks Russian/Ukrainian as well.
- Proficient in using various office software applications (e.g., Microsoft Outlook, Excel, Word)
- Familiarity with phone systems and other office equipment
- Attention to detail and accuracy in data entry and record keeping
- Ability to work independently with minimal supervision
- Prior experience in construction administration or related field is highly preferred
