Position Overview
The Construction Project Administrator is responsible for providing administrative and operational support to ensure the successful planning, execution, and completion of construction projects. This role involves coordinating on-site activities, managing project documentation, and maintaining effective communication among the team. The position requires attention to detail, multitasking, and adaptability to both office and field environments. The ideal candidate will possess strong organizational skills and a solid understanding of construction processes.
Key Responsibilities
Prepare, review, and organize project-related documentation, including contracts, permits, and change orders.
Maintain accurate and up-to-date project records, logs, and databases.
Assist in the preparation and submission of reports to Project manager and / or project owner or general contractor.
Ensure compliance with project timelines, budgets, and quality standards.
Serve as the point of contact for administrative matters at construction sites.
Facilitate communication between the on-site team, contractors, and project management.
Monitor and record daily site activities and progress updates.
Assist with coordinating inspections, safety protocols, and material deliveries.
Work with vendors, suppliers, and subcontractors to ensure timely procurement and delivery of materials.
Support project planning and scheduling activities, including coordinating meetings and site visits.
Provide logistical support for project needs, such as equipment rentals or transportation arrangements.
Ensure all project activities comply with local, state, and federal regulations.
Assist in maintaining safety documentation and conducting safety audits.
Monitor permit and license statuses to avoid project delays.
Coordinate meetings, including preparing agendas and documenting minutes.
Address and resolve administrative challenges promptly.
Requirements:
Proven experience in construction administration or related field.
Strong time management skills with the ability to prioritize tasks effectively.
Proficiency in project management tools and construction software (e.g., MS Project, Excel)
Familiarity with construction management processes.
Excellent organizational skills with attention to detail and multi-tasking abilities.
Strong written and verbal communication skills to interact effectively with clients, vendors and project management team.
Ability to work independently as well as part of a team in a fast-paced environment.
Knowledge of construction practices, safety standards, and compliance regulations.
