San Francisco based General Contractor has an immediate need for a Bid Administrator with experience of working within a construction administration position. We are a growing construction company whose work mainly consists of Public and private contracts such as wet and dry utility installation, excavation and shoring, demolition, concrete work, sewer plants, pump stations, etc. As an expanding company we are looking for the right candidate who can contribute in multiple ways to the development of our business.
The Construction Bid Administrator will play a vital role in our bidding process, ensuring that all proposals are accurately prepared and submitted on time. This position requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple tasks simultaneously. This is a fast paced position in which you will need to take initiative.
Key Responsibilities
Review and analyze bid documents and submittal instructions outlined in specifications to ensure thorough understanding and compliance.
Prepare and organize bid packages, ensuring all required documentation is included is a must.
Coordinate with project managers and estimators to gather necessary information for bids.
Maintain an organized process of bids, proposals, and relevant documentation.
Track and manage bid deadlines, ensuring timely submissions.
Communicate effectively with clients, subcontractors, and suppliers regarding bid requirements.
Assists building client relationships, which includes coordination, communication, and discussion.
Assist in post-bid analysis and documentation.
Organize and lead weekly meetings, ensuring effective communication and collaboration among team members. Document and distribute detailed meeting minutes to keep project team informed
Qualifications
Strong Organizational and Time-Management Skills: Effective in managing multiple projects and deadlines simultaneously.
Excellent Written and Verbal Communication Skills: Able to clearly convey complex information and collaborate effectively with team members.
Strategic Planner: Experienced in developing and implementing bid strategies to enhance project success.
Proficiency in Microsoft Office Suite and Bid Management Software: Competent in Word and Excel, as well as specialized bid management tools.
Experience with Completed Bid Packages: Familiar with all aspects of the bidding process, from preparation to submission.
Detail-Oriented with Strong Analytical Skills: Thorough in reviewing project specifications, identifying risks, and proposing cost-effective solutions.
Problem-Solving Abilities: Resourceful in addressing challenges and finding innovative solutions during the bid process.
Self-Motivated and Capable of Working Independently: Demonstrates initiative and can manage tasks without constant supervision.
Ability to Work Effectively under Pressure: Maintains composure and quality of work in fast-paced environments and tight deadlines.
Strong Attention to Detail: Committed to accuracy and thoroughness in all bid-related documents.
