Real Estate Assistant Job Description
Strive is looking for a highly organized and detail-oriented Real Estate Assistant to keep our corporate office running smoothly and efficiently within the property and real estate development departments. The core duties and responsibilities of the Real Estate Assistant revolve around supporting corporate executives, on-site/corporate property staff and real estate development project consultants. The Real Estate Assistant is responsible for supporting the overall company’s objective, policies, and procedures. Duties include, but are not limited to, organizing project meetings, greeting office visitors, answer phones, client relations, vendor relations, and tenant relations, in addition to composing documents, drafting meeting notes and appointment scheduling related to development projects.
This position involves communication, follow up and actions steps needed to meet deadlines with multiple parties, such as banks, attorneys, CPA’s, general contractors, construction professionals, consultants, lenders, architects, insurance companies, City, State and County regulatory authorities and officials.
On any given day, the Real Estate Assistant may perform a variety of tasks, such as:
Answer phones and greet visitors.
Schedule appointments and maintain project calendars.
Schedule and coordinate project meetings and other related meetings.
Data entry and research as needed.
Help problem-solve any administrative issues and suggest ways to improve the projects performance related to organization, efficiency and communications.
Organize, file, and maintain all current property and project documents on google drive, binders and file cabinets.
Enter information into and manage digital project databases to include project and property directories.
Schedule and confirm deliveries to field staff and consultants.
Help create, update, and adhere to project timeline and project calendar.
Schedule and coordinate project meetings, phone calls, site visits, etc.
Work with Property Management departments (onsite and corporate office) related to tasks involving PM. Assist the corporate maintenance department with work orders and vendor scheduling.
Consult with and gather information from project technicians, engineers, contractors, City and/or County officials, etc. and distribute to project teams accordingly.
Attend project meetings, investor/owner meetings and create agendas/meeting notes timely.
Assist coordination of project funding draws and grant proposals.
Maintain positive stakeholders, contractors, vendor, and client relationships.
Ensure projects adhere to a set schedule and meet the goals of the company.
Other duties as assigned are in alignment with the job description.
Skills and Qualifications:
Decision-making: Ability to make independent decisions daily, addressing the best way to handle specific tasks.
Communications and collaboration: Collaborate with other administrators, support personnel, management, vendors, tenants, and clients on a regular basis.
Organizational skills: Organization and prioritization are the core elements of the Administrative Assistant’s responsibilities. You must know how to keep yourself and others organized and how to determine which tasks are the most important to prioritize.
Writing: Spelling, punctuation, sentence structure and writing are essential.
Computer Knowledge: Basic understanding of the internet, social media, word documents, excel, google suite, and other software programs.
Requirements:
Fluent in English, (Spanish, Cantonese/Mandarin speaking is a plus)
High School Diploma/GED
One-year Real Estate Assistant, administrative experience is preferred or equivalent
(Property Management and/or Project Manager experience is a plus)
Pay: $25/hr – Part-Time, 28 hours per week. Non-exempt
Monday to Thursday, 9am to 4:30pm
