About the Firm:

We are a boutique law firm specializing in regulatory, corporate, and securities law for community and regional banks. Our three full-time attorneys and two of-counsel attorneys provide sophisticated counsel in a client-focused environment.

We rely on Microsoft Teams (VoIP phone system), Microsoft Office, Adobe Acrobat, Tabs3 (billing), and PracticeMaster (case management) as our core operational tools.

Position Overview:

The Legal Assistant / Administrative Assistant serves as the central hub of daily operations. You will manage client interactions (primarily via phone), support attorney workflows, and maintain efficient administrative systems. Precision, discretion, and technological fluency are essential to success in this role.

Key Responsibilities:

Answer and route incoming calls via Microsoft Teams; screen, announce, and transfer with professionalism.

Greet walk-in clients and couriers; manage conference room scheduling.

Schedule meetings and filing deadlines in PracticeMaster; send Outlook/Teams calendar invites and reminders.

Draft, revise, and proofread correspondence, engagement letters, and transaction documents; format legal and regulatory filings in Microsoft Word (using track changes, styles, and tables of contents).

Maintain and organize case files (electronic and paper).

Enter attorney time, process corrections, and assist with billing and expense reports in Tabs3.

Open new matters, run conflict checks, maintain the contact database, and generate reports in PracticeMaster.

Coordinate conference and client travel; register attorneys for continuing education and industry conferences; assist with planning the annual client dinner; track continuing legal education (MCLE) hours.

Set up client-specific Teams channels, schedule video conferences, and troubleshoot related technical issues.

Serve as the main liaison with our managed IT provider for troubleshooting.

Handle confidential information with discretion.

Required Qualifications:

Associate or bachelor’s degree preferred; paralegal certificate or equivalent experience accepted.

Minimum of 2 years’ experience as a legal assistant in a law firm or professional services environment.

Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.

Willingness to learn Tabs3 and PracticeMaster.

Comfortable using Microsoft Teams for calls and video conferencing.

Excellent organizational, written, and verbal communication skills.

Professional phone demeanor, impeccable grammar, and a proactive attitude—especially during high-volume or deadline-driven periods.

U.S. work authorization and ability to pass a credit/background check.

Preferred Qualifications:

Basic accounting skills and experience with QuickBooks.

Prior experience in a law firm environment.

Interest in professional growth and taking on additional responsibilities.

Work Schedule & Location:

Office Hours: Monday–Thursday, 9:00 AM – 5:30 PM; Friday, 9:00 AM – 12:30 PM.

Location: This is a fully in-person position based in Downtown San Luis Obispo.
