We are seeking an experienced and highly organized Payroll Coordinator to oversee the daily operations of the payroll department and ensure the accurate and timely processing of all employee pay. This position is responsible for resolving employee payroll inquiries and concerns, as well as ensuring compliance with all federal, state, and local wage and hour laws, including California-specific regulations.
The Payroll Coordinator will manage payroll systems and records, prepare and file all related tax forms and reports (such as DE88, 940/941/943, W-2, DE9/DE9C, and 1095-C/1094-C), and serve as the primary point of contact for agencies such as the EDD and IRS. A key function of this role involves administering and maintaining the timekeeping system, including setting up new employees, jobs, and pay rates; training supervisors and field staff on proper usage; and auditing data for accuracy and compliance.
The successful candidate will also oversee benefit processing, CalSavers administration, year-end bonuses, and wage garnishments, while partnering closely with the HR team to support onboarding, employment verifications, and recordkeeping.
This role requires a proactive professional with excellent leadership, communication, and analytical skills, capable of handling confidential information with discretion. A Bachelor’s or Associate degree in Business Administration, Accounting, Human Resources, or a related field (or equivalent work experience) is required, along with a strong understanding of payroll procedures and California wage laws. Bilingual English/Spanish proficiency is a plus.
