We are a fast-growing commercial property maintenance company looking for a reliable, detail-oriented Administrative Assistant to support our day-to-day office operations. This role is perfect for someone who enjoys staying organized, keeping the office running smoothly, and supporting a busy team with a variety of administrative tasks.
Key Responsibilities:
-General Office Support
-Assist with everyday administrative duties such as answering calls, responding to emails, and greeting visitors
-Maintain a clean, organized front desk/reception area
-Prepare documents, forms, and reports as needed
-Assist with ordering supplies and materials and keeping inventory organized
-Employee & Compliance Support
-Help create and update employee files and ensure documents are complete
-Track employee trainings, certifications, and expiration dates
-Assist with onboarding new employees (collecting IDs, forms, etc.)
-Help with compliance steps for client contracts (badges, background checks, COIs, rosters, etc.)
-Data Entry & Recordkeeping
-Enter job details, hours, and other required information into company systems
-Update project management spreadsheets
-Upload and maintain digital files, folders, and logs
-Track and organize subcontractor documents such as W-9s, insurance, agreements, and rosters
-Assist with light Payroll task & Light Bookkeeping Support
-Assist with gathering weekly hours and verifying timesheets
-Support payroll preparation with basic data review
-Help with expense tracking, receipt tracking
-Assist with tracking contractor/subcontractor payments and ensuring records are up to date
-Scheduling & Coordination
-Maintain and update the company calendar (meetings, job deadlines, inspections, training dates)
-Assist with scheduling employee trainings, equipment service, meetings, and walkthroughs
-Prepare binders, checklists, and forms for field staff
-Set up job folders, before/after photo logs, and site checklists
-Assist with tracking equipment lists and basic maintenance reminders
Qualifications
Previous administrative or office support experience preferred
Comfortable with basic computer programs (Excel, Word, Email, Google Drive/OneDrive)
Strong attention to detail and ability to stay organized
Ability to multitask in a busy environment
Professional and friendly communication skills
Bilingual English/Spanish highly preferred
Reliable, punctual, and able to maintain confidentiality
