Office Manager with some Client Manager responsibilities.
About Us: We are a very busy IT company that helps out small to medium sized companies with every aspect of their IT. We work on computers, networks, cabling, camera systems, software assistance and just about everything in-between. We're a small but efficient group of people that like to have fun while we work.
This role works closely with clients to ensure satisfaction with products/services received; as well as to improve upon areas of dissatisfaction. They will provide clients with the necessary technical and product support; this will be done through the establishment of customer support practices and working directly with senior technical manager.
Works with senior management to improve office operations and procedures. Responsible for overseeing employees related to productivity, time management, and quality of work. Responsible for overseeing successful completion of projects, utilizing customer input, from beginning to end. This includes managing relevant employees, ensuring the project stays on budget and on time, and adjusting as necessary. Answering incoming client calls/emails and redirecting to appropriate staff. Management of office inventory and organization of corporate materials, ensuring office cleanliness, safety, and functionality. To put it broadly, this employee’s primary role is to keep critical action items from falling through the cracks.
If necessary, they will be responsible for recording financial transactions, maintaining financial records, updating financial data, and ensuring all accounts are current and accurate.
We are looking for a fast learner with any PSA, CRM or industry specific software. We run software for the MSP Industry that takes some work to learn and love.
QuickBooks knowledge A MUST - We use QuickBooks Online and also have a CPA to lean on but we want you to be able an expert or become an expert early on.
- Managing accounts receivables and payables
- Helping clients pay over the phone
- Running reports
- Running payroll
- Sales tax remittance
- Working with our accountant on a regular basis
- Project profitability consulting
- Work with our staff to get their time and materials into our billing system
- Be available to drive around town (if needed) to collect checks and materials from vendors (occasionally)
Mail Chimp or equivalent email system
Some marketing duties
Outlook/Excel/Word/PowerPoint
Use of CRM/ERP systems that manage customers, employees, and projects
Ordering materials
Quick learner
