We are seeking a dedicated and detail-oriented Office Administrator to join our team on a temp-to-hire basis. The ideal Candidate will play a crucial role in ensuring the smooth operation of our office by managing admin task, support staff, and enhancing overall efficiency. This position requires strong organization skills, proficiency in various office software, and the ability to communicate effectively with both internal teams and extremal clients.
Responsibilities:
Manage Front Desk - greeting visitors and handling inquires
Maintain organized filing systems both physical and digital documents
Utilize phone systems - Manage incoming calls and messages efficiently
Coordinate and manage the preparation of bids documents, ensuring accuracy and completeness.
Maintain a calendar of bid deadlines to ensure timely submissions.
Perform clerical duties such as - typing, data entry and document preparation.
Maintain supplies inventory and order materials as needed.
Coordinate with general contractors and suppliers to ensure timely communication and follow-up.
Qualifications:
High School Diploma or equivalent
Bilingual proficiency in English and Spanish a plus.
Experience in an admin role, preferably in construction industry
Proficiency in Microsoft Office suite (Word, Excel, Outlook)
Strong Organization skills and attention to detail
Excellent verbal and written communication skills
Experience with Project Managment Sofware's such as blue beam, and building connected is preferred but not required
Knowledge of Construction terminology and processes is a plus
