Utility Systems Construction & Engineering LLC is a mid-sized business located in Rockville, MD 20852, and we are looking for a highly organized and detail-oriented Administrative Assistant to join our team.
The ideal candidate will provide administrative and clerical support to ensure efficient day-to-day operations, assist project teams, maintain documentation, and coordinate with internal departments, clients, and vendors.
No remote work. The interview and the position will take place onsite.
Responsibilities
Manage phone calls, emails, and correspondence in a professional and timely manner.
Prepare, format, and proofread reports, contracts, meeting minutes, and other documents.
Maintain office supplies inventory and place orders as needed.
Assist with preparing and tracking project documentation, including contracts, submittals, and change orders.
Support billing processes, track invoices, and coordinate with accounting.
Help with bid preparation, subcontractor documentation, and compliance paperwork.
Coordinate between project managers, field teams, subcontractors, vendors, and clients.
Schedule and coordinate meetings, site visits, and inspections.
Maintain internal databases and spreadsheets for construction and engineering projects.
Qualifications & Requirements
Associate or bachelor’s degree (Preferred).
2+ years of administrative experience (construction or engineering industry preferred).
Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and time management skills with attention to detail.
Excellent written and verbal communication skills.
Ability to handle sensitive information with confidentiality.
Knowledge of construction project processes and terminology is a plus.
