Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Miami, Florida. The primary function of this role is to provide administrative support and ensure smooth operations within our organization. This position involves a range of tasks including visitor coordination, answering calls, and maintaining organized records. Responsibilities: Greet and provide assistance to visitors, ensuring a hospitable atmosphere. Answer all incoming calls on the main line and route them to the appropriate staff members. Share necessary office-wide announcements, including property management communications and advisements. Manage conference rooms including reservations and technical assistance with video conference/AV equipment. Ensure conference rooms are kept tidy and stocked appropriately. Handle the coordination of meetings and other events as needed. Perform data entry tasks as necessary to maintain accurate records. Serve as an Interview Greeter when needed, providing a warm welcome to potential candidates. Respond to and resolve customer inquiries related to credit applications and records. Monitor customer credit accounts and take appropriate action to collect delinquent payments. Requirements Proficiency in answering and managing inbound calls efficiently Ability to accurately take and relay messages Skilled in coordinating meetings, including scheduling and logistics Experience with data entry and maintaining databases Strong attention to detail and organizational skills Exceptional written and verbal communication abilities Ability to work in a fast-paced, deadline-driven environment Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint Strong interpersonal skills, with a focus on providing excellent customer service Ability to maintain confidentiality and handle sensitive information Proactive and self-motivated, with the ability to work independently High school diploma or equivalent. Further education in Office Administration is a plus.
