OverviewReporting directly to the Senior Vice President and Chief Marketing Officer, the Marketing & Events Administrator provides executive support in a one-on-one working relationship to the SVP and Chief Marketing Officer, and other SVP/VP Sales and Marketing leaders on ad hoc basis.The Marketing & Events Administrator serves as the primary point of contact for internal and external constituencies on all matters pertaining to the SVP/Chief Marketing Officer and other SVP leaders and works closely with the Executive Admin staff to support other executives when needed. Primary duties include travel coordination, meeting and calendar coordination, Department meetings, team community or social gatherings, expense management and department administrative duties.In addition to executive support, this role works closely with the Experiential and Events team on all administrative support related to branded events, client hospitality and trade conferences. You will interface with executive leaders across the organization as well as internal and external partners, suppliers and trade associations, and supporting technology platforms.Responsibilities:Executive support:

Provides administrative support in a variety of areas to the Chief Marketing Officer and SVPs of Sales that are focused on increasing the efficiency of the executives.

Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration.

Extensive coordination of calls, interview and meeting schedules, itineraries, and domestic and international travel arrangements.

Manages expense report and department invoice processing and tracking.

Develops a broad knowledge and understanding of the company's operations and business objectives.

Serves as a member of the EA team in support of C-level executives. Works as a collaborative team member to solve issues and create excellence in the EA community.

Plans, coordinates, and schedules meetings, coordinates and manages logistics

Communicates directly and on behalf of the assigned executives with his/her staff on matters related to department and company initiatives.

Professionally coordinates smooth communications between the assigned executive and internal/external business groups and functions, demonstrating leadership to maintain credibility, trust, and support.

Handles inquiries and calls from outside of the company in a manner that is respectful while maintaining appropriate confidentiality and discretion, including discerning appropriate delegation of responses to other executives and team members.

Prioritizes conflicting needs and handles matters expeditiously and proactively.

Follows through on projects to successful and timely completion; and

Together with other C-level Assistants, serves as a role model for the executive administrative function at ABM.

Assist with ad hoc projects related to the administration and operation of the sales and/or marketing function (e.g. advertising requests, photo shoots, presentations, etc)

Events support:

Oversee the Experiential Marketing email inbox and manage inbound events support requests

Coordinate all events and trade conferences invoicing and processing as part of Department invoice management

Manage and maintain national/regional events calendar on intranet

Assist with entertainment ticket and hospitality requests within the organization

Manage internal access to the event asset platform

Coordinate updates and reports for merchandise and exhibits platforms and new hire kits as requested

Coordinate event lead lists across marketing and inside sales as part of event management and assist with photo shoot planning and preparations

Assist with events communications to field teams and regional/field asset update or guidance

Assist with securing team member memberships to our industry partner associations/organizations

Assist with team member logistics for client facing events

Requirements:

Bachelor’s degree or equivalent work experience.

Minimum of 5 years’ experience as an Executive Assistant in a large corporate environment supporting multiple C-Suite executives.

Expert proficiency in MS Office, specifically PowerPoint and Outlook as well as the aptitude to learn new programs as needed.

Proficiency in expense management systems and corporate travel booking platforms.

Strong track record of professional integrity.

Proven organizational skills, including the ability to manage a dynamic work volume.

Exceptional communication skills (written and verbal), including the ability to handle a large volume of emails

Strong Customer Focus – external and internal.

Previous experience with high volume national and international travel arrangements.

Solid self-initiative and motivation, and demonstrated ability to achieve goals independently, including analyzing situations and establishing priorities.

Ability to multi-task with attention to detail in a fast-paced, team-oriented environment in which priorities can shift quickly.

Demonstrates good judgment and ability to maintain the highest level of confidentiality.
