Hawaii Restaurant Association Project Coordinator

The HRA Project Coordinator is the main point of contact for the Hawaii Restaurant Association and will provide high-level administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to daily communications. The position is remote but must be based on Oahu for some in-person meetings and events.

A quiet workplace where you can make phone calls and participate in online meetings is mandatory.

This hybrid position is as an Independent Contractor, Monday -> Friday located on Oahu, Hawaii, some weekends and in-person meetings and events on a case-by-case basis, which will be prearranged & agreed on.

Minimum time commitment: Mornings from 9am - 11am. Monday through Friday.

Responsibilities

Handle internal and external requests and queries appropriately and in a timely manner

Receive calls, take messages and route correspondence

Act as the point of contact between the public, Board of Directors, our members and internal/external clients

Maintain calendar, arrange meetings and appointments and provide reminders

Create meeting minutes

Produce reports, presentations and briefs

Maintain efficient documentation and online filing system

Ability and familiarity with remote work

Professional demeanor

Requirements

Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, Project Coordinator, or in other admin positions

Proficiency with Google Docs, Sheets, Calendar, and MS Office

Organized and familiar with administrative processes and procedures

Must have own Cell phone

Must have own Laptop

Must have access to Wifi in your home office

Full comprehension of office management systems and procedures

Extensive experience acting as host for virtual meetings (primarily Zoom)

Exemplary planning and time management skills

Up to date with advancements in office equipment, software and applications

Ability to multitask, prioritize, pivot (when necessary); quick thinker & be flexible

High-level verbal and written communication skills

Discretion and confidentiality are a must

Must have an automobile to run errands, make deliveries and pickups (mileage reimbursed).

High School degree: additional qualifications as a personal assistant would be considered an advantage

Proficiency in English
