Complete and submit contracts for lobbyists and state consultants for Government Affairs.

Review and track invoices, budget for sponsorships, support management of budget for leaders. Prepare/track expense reports.

Heavy calendaring management: coordination and planning for meetings, conference calls and special events for conferences; arranging annual team meeting events; arrange and confirm local and domestic travel.

Attend and take notes during weekly meetings and follow-up on action items; build agendas for bi-weekly government affairs team meetings.

Facilitate communication with all levels of management, both internal and external

Create, edit and proo business communications and documents using MS Word, Excel and PPT

Special projects on an as-needed basis

Register for conferences for government affairs team members and state consultants

5 + years executive level support required, senior management level for large company preferred

Travel scheduling experience is a must

Some reasonable evening and/or weekend availability is needed as business operations continue outside of normal office hours with travel, meetings, events

Highly-organized with an ability to demonstrate keen attention to details, adaptability, flexibility, resourcefulness and efficiency

Advanced level skills with PowerPoint, Excel, MS Word, Outlook

Strong efficiency and timeliness in completing work

Ability to take self-initiative and be proactive

Ability to multi-task and prioritize workload

Ability to recognize and appropriately handle highly confidential material

Excellent verbal and written communication skill

Demonstrated ability to operate efficiently under pressure, handle simultaneous tasks and prioritize effectively
