Submit both a cover letter and resume as one file (because of system limitations).What You'll DoThe Center for Academic Innovation at the University of Michigan is looking for a qualified Operations Coordinator Senior (OCS) to oversee the maintenance of our center's office space and daily operations related to facilities matters as well as other human resources and general operations related projects. You will manage a variety of office services to ensure necessary organizational operational needs are met such as gathering quotes from suppliers and vendors, overseeing supplies and services purchasing related to building maintenance, office equipment, and furniture/supplies and other applicable services as assigned. Also, the Operations Coordinator Senior will be asked to support a variety of special projects related to space optimization, talent management, team communication, and administrative tasks related to center processes. The Operations Coordinator Senior will report to the Associate Director of Talent Management and Organizational Development (AD TMOD) and work with the CAI Operations Coordinator (OC) on the coordination of daily operational activities.Who We AreThrough curricular innovation, tools for student success and equity, and educational research, the University of Michigan Center for Academic Innovation is building the future of education. We also provide expertise around the design and implementation of center-wide organizational processes and along with policy matters related to compliance topics like copyright, accessibility, and Department of Education rules and regulations, and data privacy. We support student engagement through designing co-curricular fellowship opportunities and experiential learning opportunities. Maintain the center's intranet site, including regular review and maintaining content by creating a regular schedule for updating and requesting updated content from all areas at the center.

Support the rollout and communication of new operational processes within the center, ensuring that all staff members are informed.

Help coordinate the Request for Proposal (RFP) process by serving as a primary liaison with the university's Procurement department, including gathering and preparing necessary documentation, communicating with potential vendors, and ensuring that all procurement activities align with university policies and timelines.

Facilities: 40%

Support daily operations related to CAI's physical office at 317 Maynard St, including overseeing space access and security and attending to real-time inquiries with the Operations Coordinator.

Oversee the maintenance and functionality of the center's office building, including coordinating repair work, ensuring compliance with safety regulations, and managing space allocation to improve the use of office areas.

Maintain relationships with contracted vendor services by serving as the liaison with external vendors and communicating

Help establish space usage guidelines and continue to think of ways to maximize space use and optimization.

Support projects related to facility renovations.

Gather quotes from suppliers and vendors, manage relationships, and oversee the purchasing of supplies and services related to food, building maintenance, office equipment, furniture, and other necessary resources.

Help with special projects related to space optimization, team communication and process coordination with oversight from the AD TMOD and the Chief Operating Officer and Senior Director of Policy (COO SDP)

Work with the Operations Coordinator to ensure smooth daily operations, including managing office supplies, coordinating deliveries, and overseeing the functionality of office equipment.

Monitor the compliance of the facility with university and center-level policies and safety regulations, ensuring that any issues are promptly addressed.

Contribute to the development of emergency preparedness plans, including coordinating drills, updating safety protocols, and ensuring that the office is equipped to handle emergencies.

Participate in projects focused on improving the sustainability of office operations, such as energy-saving projects, waste reduction programs, and the use of eco-friendly practices within the workspace.

HR Support: 20%

Implement revisions to human resources processes related to hiring, onboarding/offboarding based on process updates.

Support recruiting tasks such as job board postings, team communications and interview scheduling for candidate searches as assigned.

Help with special projects related to human resources as assigned.

Required Qualifications

Bachelor's or Associate's degree and 3+ years of experience.

Demonstrated experience in facilities and daily operations management.

Demonstrated experience developing processes and organizational systems for operations optimization.

Experience balancing priorities and deadlines independently.

Demonstrated experience with project management and customer relationship management tools (e.g. GSuite, Asana, Salesforce or similar tools).

Demonstrated initiative, and service-oriented approach.

You can expect to be paid a great compensation package. Factors used to determine salary include education level and experience for the position and internal equity within the unit. You are encouraged to discuss salary questions to honor agreement and transparency throughout the recruiting process.Please Note: This is a 5 year term limited position with the possibility of renewal depending on funding.Must have legal authorization to work in the United States.The mode of work for this position is Hybrid . The work requirements for this position allow both onsite and offsite work and you will have an expected regular and recurring onsite presence.
