ResponsibilitiesMaintains schedule for graduate and faculty and predoc providers and patient appointments for consultations and surgeries. Works closely with providers on adherence to surgical scheduling procedures and post-op visits. Reviews and faxes and receives faxes for medical consults for all levels of patients. Manage phone calls from internal and external providers. Serves as the referral/authorization coordinator and scheduler. Coordinates same day appointments with other departments to optimize multi-discipline treatment. Communicates and interacts with pre-doctoral students to verify proper documentation is received in order to initiate treatment. Obtains all information for appointments, including referral, insurance, release of information and radiograph and transfers to MIDent from the external referral database. Supports online registration for new and existing patients Provides patients with appropriate information for patient appointments by identifying appropriate procedure code, scheduling, billing, biopsy pre-auth if needed and charges of procedure to ensure patient financial responsibility. Provides information to the patient of what appointment will entail and nature of the procedure being performed. Reviews patient insurance coverage for treatment being rendered with the patients, providers, and staff/before and during treatment. Verification and updates as necessary of dental insurance on date of service. When necessary explains billing/procedure codes and insurance inquiries to patients, dentists, students and staff Post consultation appointment obtains insurance approvals, enters treatment codes and approval of dental radiographs for preparation of Prior Auth and Predeterminations Daily clinical tasks (reminder calls, referr tracking, etc. Triages patient calls and routes the patient concern to appropriate provider or work with clinic coordinator to determine urgency of care needed. Works closely with Centralized Call Center agents/supervisor. Other reports as needed.Greets patients arriving for clinic visits. Verify appointment status and process visit paperwork while working at the central information desk when necessary. Reconcile daily cash and credit card payments if at desk. Obtain, verify and update insurance, financial statistical and demographic information with the patient.Collects payments copays and past due balances at patient check in/out using the established department school guidelines. Develop along with supervisor standard of work to ensure clinic productive and efficient. Assist, facilitate and innovate through ideas in identifying, improving and resolving operation issues with others. Other duties as assigned.Required Qualifications2 years of experience working in a medical or dental office with knowledge of basic medical or dental terminology, and prior experience performing complex scheduling and financial counseling for patients. General knowledge of office practices and obtaining medical records. Excellent customer service skills, exceptional interpersonal skills and the ability to work well as a team player with ability to take direction and communicate with team and patients courteously and respectfully at all times. Demonstrated excellent communication skills and information technology skills. Energetic individual, motivated with a positive and professional attitude with an excellent ability to multi-task and work in a high volume area. Excellent organizational skills. Excellent attention to detail. Excellent attendance record.Desired QualificationsExperience working within a large, complex health care setting or school and knowledge of University policies and procedures.
