We are seeking a skilled Administrative Assistant with Construction experience for a General Construction office to join our team! Experience in public bidding contracts through government agencies would be helpful. As an Administrative Assistant/ Assistant Project Manager you would administrate all aspects of the projects from bidding to closeouts, perform clerical and administrative functions in order to maintain and increase company success on our projects and in our company
Responsibilities:
Draft correspondences and other formal documents
Prepare bid documents and related correspondence
Seek and prepare submittal log. Submittals and maintain accurate files digitally and paper
Prepare CO's. RFI's, RFP's and maintain accurate files digitally and paper
Prepare AIA documents, payment applications, subcontract agreements
Prepare and maintain certified payroll reports and EEO reports and transmittals
Purchasing - Purchase Orders and Contracts and auditing the progress in house
Plan and schedule appointments and events, renewal of registrations and certifications
Maintain and update Outlook Company Calendar
Greet and assist onsite guests
Answer inbound telephone calls
Develop and implement organized filing systems digitally and paper
Perform all other office tasks
Qualifications:
Previous experience in office administration in a construction office performing public contracts and related fields
Ability to prioritize and multitask
Excellent written, data entry and verbal communication skills
Strong attention to detail
Strong organizational skills
Notary Public is helpful
