Administration Assistant

ACT is seeking an initiative-taking and organized Administration Assistant to join our team and contribute to the smooth functioning of our office operations.

Job Responsibilities:

Direct support to office management team and service department.

Manage high call volume, emails, inquiries, directing them to the appropriate personnel and processing work order tickets accordingly for the service department.

Ensure a positive customer experience.

Manage and organize office documents, files, and records.

Communicate directly with customers and vendors.

Manage and schedule inspection schedules and repairs.

Manage multiple calendars for Service Technicians and Vendor inspections.

Input and manage data in databases and spreadsheets accurately.

Maintain organized records of financial transactions, invoices, and receipts which includes assistance in basic financial tasks, including posting and invoicing.

Work closely with the finance team to ensure accurate and timely financial record-keeping.

Qualifications:

Proven experience as an office administration assistant, or relevant role.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Ability to manage and perform duties on several web-based databases.

Proficient in QuickBooks, MS Office (Word, Excel, Outlook) and basic knowledge of office equipment.

Manage and maintain multiple scheduling calendars

Attention to detail and problem-solving skills.

Education and Experience:

High school diploma or equivalent; additional qualifications in office administration and previous experience in an administrative role is a plus.

Pay: DOE

(Full Time Position Monday-Friday 8am – 5pm)
