Position Summary:

First point of contact. The receptionist manages the daily activities of the front desk, including operating a multi-line telephone, answering incoming calls and directing callers and visitors to appropriate personnel.

Essential Duties & Responsibilities:

Answers incoming telephone calls, determines purpose of calls and forwards calls to appropriate personnel or department, ensuring professional telephone etiquette.

Records and delivers messages or transfers calls to voicemail, when appropriate.

Retrieves messages from voicemail and forwards them to appropriate personnel.

Welcomes visitors, determines nature of business and announces visitors to appropriate personnel, maintaining professional and courteous demeanor; answers questions related to program services and provides general information.

Ensures the reception area is tidy and presentable.

Receives, sorts, logs and routes mail.

Receives deliveries, lift boxes, and maintain the storage area

Scan, Photocopy, collate, distribute and file documents, as requested.

Transmits outgoing faxes and retrieves, logs and distributes incoming faxes.

Types correspondence, as requested.

Maintains office equipment, performing or coordinating general maintenance and repair.

Manages calendar for conference room meetings

Prepares and maintains records and logs of schedules, rosters and employee directories.

Maintains inventory of office supplies, advises Administrative Services Manager of items to reorder

Fulfills material requests received from website.

Assists with travel arrangements, prepares and submits travel-related documents and maintains travel information, as necessary.

Perform other duties as required.

Minimum Qualifications:

High school diploma or GED, plus two years related experience; or equivalent combination of education and experience. Must be able to type at least 45 wpm and demonstrate proficiency in interpersonal communications.

Valid Driver’s License required. Must be able to successfully pass a pre-employment drug/alcohol screen and background investigation.

Knowledge, Abilities, Skills and Certifications:

Ability to communicate effectively in the English language, both verbally and in writing.

Ability to greet the public in a courteous manner.

Ability to maintain strict student confidentiality and compliance with the Family Education Right to Privacy Act.

Ability to establish and maintain professional relationships with individuals at all levels.

Ability to follow oral and written instruction.

Knowledge of modern office practices, procedures and equipment

Knowledge of business English, proper spelling, grammar, punctuation and basic arithmetic.

Skills in operating business computers and office machines, including various software applications, specifically Word, Excel, Access, presentation software (such as PowerPoint).

Knowledge of American Indian History, culture and tribes preferred but not required.

M-F from 8am - 5pm

Rate: $19/hr.
